🗃️ How to Organise and Name Scanned Documents So You Can Find Them Later

By the MZScan team · Updated 17 October 2026 · 3 min read

Scanning is only half the job. A phone full of files named IMG_2034 and Scan 7 is almost as hard to use as a pile of paper. A small system for folders and names, plus a backup habit, turns your scans into a document library you can search in seconds. It costs a few minutes per week and saves hours when you urgently need a certificate or a bill.

Keep the structure simple

Use a few top-level folders and avoid deep nesting. A good starting point:

Use a naming pattern

Put the date first so files sort by time, then what it is, then one useful detail: 2026-10-12-electricity-bill-3450.pdf, degree-bsc-2024.pdf, passport-photo-35x45.png. Use lowercase, dashes instead of spaces and no special characters. MZScan does not make PDFs searchable, so good file names are what make a document easy to find.

Choose the right file type

Keep a multi-page document as one PDF (see images to PDF), a single photo-like page as JPG, and a signature or screenshot as PNG. PDF vs JPG vs PNG explains the differences.

Keep originals and scans separate

If you edit or shrink a file, save the result with a new name and keep the untouched original in an originals folder. That way you can make a smaller copy again without compressing a copy of a copy.

Back up in two places

Keep one copy on your phone or computer and another on cloud storage or an external drive. A good habit is to back up once a week. If a phone is lost or broken, your documents survive.

Protect private documents

Review once a year

Once a year, remove duplicates and expired documents, and check that the backup opens. Keep records for as long as your local rules or your own needs require, which differs by document type.

A 10-minute starter plan

  1. Create the six folders from this guide.
  2. Move your most important documents into them: ID, education, current contract.
  3. Rename each file with the date-first pattern.
  4. Copy the whole folder to cloud storage or an external drive.
  5. Delete the loose copies from your photo gallery.

Then add new scans as they arrive, and the system stays tidy.

Frequently asked questions

Should I put my name in every file name?
Not necessarily. Add it when you share a file, for example in an application. In your own library the folders already tell you whose documents they are.

Is cloud storage safe for ID cards?
It can be, if the account has a strong password and two-step verification. Do not share the folder publicly.

Do I need to scan everything?
No. Scan the documents that are hard to replace or that you need often.

Your files stay on your device. Nothing is uploaded.
