🧾 How to Scan Receipts and Bills So They Stay Readable for Years

By the MZScan team · Updated 17 October 2026 · 3 min read

Many receipts are printed on thermal paper, which slowly fades until the amounts disappear. Utility bills and invoices get lost in drawers. A quick scan solves both problems, as long as it is done carefully enough that every date and amount is still readable on the screen. This guide shows a simple routine that takes less than a minute per receipt.

Why receipts and bills are worth scanning

You may need them for a warranty claim, a refund, an expense report, a tax record or simply to prove a payment. Paper copies fade, crumple and disappear. A clean scan stored with a clear file name is easier to find than a paper in a drawer. Keep the original for as long as the seller or your local rules require, and treat the scan as a convenient second copy.

Take a clear photo

Clean it up in the scanner

  1. Open the MZScan scanner and choose your photo.
  2. Press Auto crop, then adjust the corners so only the receipt is inside.
  3. Choose B&W Scan for the sharpest print. If the text looks pale, raise Text darkness a little.
  4. If the background is grey, raise Whiteness slowly.
  5. Press and hold Original to compare with the untouched photo.

Check the numbers before you save

Zoom in and read the date, the total, the tax line and any reference number. These are the details that matter later, and they are the first to blur if the scan is too soft. If any digit is unclear, retake the photo rather than relying on memory.

Very long receipts

A long supermarket receipt can be too narrow to read when the whole length fits in one photo. Photograph it in two overlapping parts and keep them together in one PDF, using Image to PDF, so the pages stay in order.

Name and store them so you can find them

Use a pattern that sorts well, for example 2026-10-14-electricity-bill-3450.png (date, what it is, amount). Keep one folder per year, and inside it a folder for each kind: bills, warranty, tax, medical. For more ideas see how to organise and name scanned documents.

Make a monthly PDF

At the end of the month, add that month's scans to Image to PDF, choose A4 with a Small margin and Normal quality, and create one PDF. One file per month is far easier to send to an accountant or attach to an expense claim than dozens of pictures.

Common mistakes to avoid

Frequently asked questions

Which mode is best for receipts?
B&W Scan usually gives the clearest text. Use Grayscale if the print is very faint and B&W makes it disappear.

Should I throw away the paper after scanning?
Not necessarily. Keep the original for as long as warranty, tax or return rules require.

Can I scan many receipts at once?
Yes, you can choose several photos together, but taking one photo per receipt keeps the files easy to name.

Your files stay on your device. Nothing is uploaded.
